Analysis/Phase 0 submission

When submitting a new Analysis/Phase 0?

If there are new ideas for physics analyses, the related group and subgroup conveners should be contacted. Then, they will discuss the ideas and check if there is no similar Analysis already created. If not, the group convener can create a new Analysis/Phase 0 if there's a need of:

  • Internal notes/Papers/CONF/PUB notes repositories;
  • Glance records for Papers/CONF/PUB notes.

How to submit a new Analysis/Phase 0?

Please:

  • Access this link.
  • Go through all the form, using "Next" button.
    All the fields with "*" after their names are mandatory.
    To check fields rules and permissions, click on the "i" button next to it.
  • At the end of the form, after confirming that all the data are correct, click "Submit" button.
    Notice that the submission can take some time to finish due to the creation of GitLab groups and repositories.
  • When the submission is complete, it's possible to access the new Analysis/Phase 0 through the green panel in the top of the page, clicking on the "view details" button. The submission is restricted to Group Conveners and Glance Analysis administrators.

How to create a Phase 0 to an existing Paper, CONF or PUB note

Group Conveners and Glance Analysis administrators can access the menu and create a Phase 0 for a publication. In Papers system, for example, the button is called "Create Phase 0 for this Paper", as shown in the picture:

Egroups

Which and when egroups are created in an Analysis/Phase 0?

  • atlas-ana-(reference code)-analysis-team: Automatically created when the Analysis/Phase 0 is submitted.
  • atlas-ana-(reference code)-contact-editors: Automatically created when the Editorial Board is formed.
  • atlas-ana-(reference code)-editors: Automatically created when the Analysis/Phase 0 is submitted.
  • atlas-ana-(reference code)-editorial-board: Automatically created when the Editorial Board is formed.
  • atlas-pubcomm-edboard-chairs: The egroup is already created but when the Editorial Board is formed the chairs are added to this egroup.

Who are the members of each egroup?

  • atlas-ana-(reference code)-analysis-team: All the Analysis Team members; but NOT the conveners
  • atlas-ana-(reference code)-contact-editors: Once appointed, Contact Editors are added together with the Analysis Coordinators. Group Conveners, Subgroup Conveners, Other Group Conveners are also in the egroup.
  • atlas-ana-(reference code)-editors: All the Analysis Team members, Analysis Team additional members, Group Conveners, Subgroup Conveners, Other Group Conveners.
  • atlas-ana-(reference code)-editorial-board: All the Editorial Board members, all the atlas-publication-committee-chair egroup members.
  • atlas-pubcomm-edboard-chairs: All the chairs of all the Analysis/Phase 0, Papers and CONF notes ever created.

PO-GitLab repositories

PO-Gitlab structure

PO has a GitLab group that should contain all physics groups as subgroups (Ex: HIGG, EXOT, TOPQ). Each of those subgroups should contain the groups of all its related Analysis/Phase 0 and those should contain all its related repositories.

Hypothetical example for HIGG:

  • atlas-physics-office (group)
    • HIGG (subgroup)
      • ANA-HIGG-2018-01
        • ANA-HIGG-2018-01-INT1
        • ANA-HIGG-2018-01-INT2
        • ANA-HIGG-2018-01-PAPER
        • ANA-HIGG-2018-01-CONF
        • ANA-HIGG-2018-01-PUB

First automatic Glance/PO-Gitlab integration

The first GitLab integration happens when a new Analysis/Phase 0 is submitted. At this moment, the Analysis/Phase 0 GitLab group is created and, inside it, the first internal note repository is created.

Hypothetical example for HIGG:

  • atlas-physics-office (group)
    • HIGG (subgroup)
      • ANA-HIGG-2018-01
        • ANA-HIGG-2018-01-INT1

          Developer permission is given to Analysis team egroup.

How to create additional repositories?

After submitting a new Analysis/Phase 0, please:

  • Click on "edit" button of the "Summary" panel.
  • Next to "Gitlab Repositories" field there will be buttons to create an internal note, Paper, CONF and PUB note repositories.

    It is possible to create many internal note repositories but only one for Paper, CONF and PUB note.
    GitLab repositories creation is restricted to group conveners, subgroup conveners, Analysis coordinators and Glance Analysis administrators.

The following image show a real example of ANA-HIGG-2018-05 repositories in Glance summary. It also shows the buttons that should be used to create aditional repositories:

Notice that the button to create a CONF note repository is unavailable because it was already created.

Skipping the Analysis workflow

Who can skip the analysis workflow (green Button)

  • All the Group Conveners that intend to create a PUB note.
  • All the Group Conveners that intend to create a Paper or a CONF note that don't need an ANALYsis validation Workflow and belong to the groups: LUMI, TRIG, DAPR, IDET, LARG, MDET, PERF, SOFT, TCAL, TECH, GENR, LHCC, TDAQ, PMGR, UPPH, OTRC, UPGR.

How to skip Phase 0?

Please:

  • Click on "edit" button of the "Phase 0 data" panel/step;
  • Click on the yellow button correspondent to the publication you want to skip to.

    This will automatically create the Glance entry and the repository for the publication (if not created yet).
    This action is restricted to group conveners and Glance Analysis administrators.

Notice that you will be able to click/view skip buttons only if you have permission.

Phase 0 fulfillment

How to go through Analysis/Phase 0 workflow?

  • Click on "edit" button of the "Phase 0 data" panel/step.
  • Fill the fields of the panel.
    All the fields with "*" after their names are mandatory.
    To check fields rules and permissions, click on the "i" button next to it.
  • Click on "proceed" button.

    Repeat the procedure for all the other panels/steps (Expression of interest (EOI) meeting data, Analysis definition after EOI meeting, Analysis coordinator selection ...).
    The responsible for proceeding each panel/step will be notified by email.

From Phase 0 to Phase 1

How to create a Paper, CONF or PUB Phase 1?

PUB notes can only be created when skipping Phase 0, as mentioned before. If you want to create a PUB note, go to "How to skip Phase 0?" section.
CONF notes and Papers can also be created when skipping Phase 0, but also in its last step. At the end of Phase 0, in "Publications definition" panel/step there will be the possibility to create a Glance entry for a Paper and a CONF note, that will inherit all the main data from Phase 0.
To do that, please:

  • Click on "edit" button of the "Publications definition" panel/step.
  • Click on "Create New Glance Paper" and/or "Create New Glance CONF note" button of the "Publications definition" panel/step.

    After that, the Glance entry and the repositories will be created (if not created yet).
    Once the Glance Paper/CONF note entry is created, Phase 1 continues as usual and in the read mode of "Publications definition" panel/step there will be the links to their pages.
    This action is restricted to group conveners and Glance Analysis administrators.

The following image show a prinscreen of "Publications definition" panel/step:

In this example, no Glance Paper or CONF note was created yet and that's because both buttons are availiable.

Phase 0 synchronization

How to synchronize Analysis/Phase 0 and Paper/CONF/PUB note summary metadata?

If a summary information is edited in Analysis/Phase 0 it won't be automatically updated in its inherited publications. However, there's a way to do that. Please:

  • In the top menu, pass the mouse over the reference code of the Analysis/Phase 0.
  • Click on the "Synchronize Publications" option.

    This action is restricted to group conveners and Glance Analysis administrators.

Cloning Analysis/Phase 0

How to clone Analysis/Phase 0?

If there's a need for a similar Analysis/Phase 0, the content of one can be cloned. To do that, please:

  • In the top menu, pass the mouse over the reference code of the Analysis/Phase 0.
  • Click on the "Clone Analysis" option.

    This action is restricted to group conveners and Glance Analysis administrators.

When cloning an Analysis/Phase 0?

Whenever there is a need to start a new Analysis/Phase 0 from the beginning of the approval process and the summary panel should be the same as an existing one.

Obs: If your Phase 0 is already attached, for example, to a CONF note and you also need to attach it to a Paper, there is no need to clone it if you don't want to repeat the approval process. An Analysis/Phase 0 can be attached to one Paper and one CONF note at the same time.
