Geant4 Low Energy Electromagnetic Physics Working Group Rules and Regulations

Members of the Geant4 Low Energy Electromagnetic Physics working group have certified their acknowledgment of the following set of rules.

Geant4 context

The Geant4 Low Energy Electromagnetic Physics working group activity is entirely part of Geant4 activity and is managed by a coordinator and a deputy coordinator, which have been elected by the working group collaborators. Their names are listed on this page, in the Coordination section. They are the official and only contact persons representing the Geant4 Low Energy Electromagnetic Physics working group.

Any communication addressed to this WG shall be sent to the WG coordinator and to deputy coordinator, since they represent the whole WG.

They are all members of the Geant4 collaboration (see this page).

Workplan, new developments and manpower

Any initiative or decision regarding the scientific workplan of the Geant4 Low Energy Electromagnetic Physics working group (such as the development of new models, the initiation of new collaborations & the associated hiring of manpower like PhD and post-doctoral fellows), must be presented and acknowledged by the Geant4 Low Energy Electromagnetic Physics working group.

Participation to meetings, workshops, conferences

Any Geant4 Low Energy Electromagnetic Physics working group collaborator is welcome to present Geant4 Low Energy Electromagnetic Physics working group developments and results at conferences, provided that the following conditions are met:

  • the Geant4 Low Energy Electromagnetic Physics working group is made aware of this request well prior (for eg. one month) to the abstract submission deadline (content of abstract, name of presenter)
  • the Geant4 Low Energy Electromagnetic Physics working group approves the participation to the conference and the content of the talk and presented material
  • the presented contribution is stated to be part of the Geant4 Low Energy Electromagnetic Physics working group
  • the presentation is made on behalf of the Geant4 Low Energy Electromagnetic Physics working group

We suggest to use the following PowerPoint file template for slide preparation in order to ease slide re-circulation : template.ppt, but presenters are free to use their own template file.

Publications

Any Geant4 Low Energy Electromagnetic Physics working group collaborator is welcome to publish papers or proceedings about Geant4 Low Energy Electromagnetic Physics working group developments provided that the following conditions are met :

  • the Geant4 Low Energy Electromagnetic Physics working group is made aware of this request
  • the Geant4 Low Energy Electromagnetic Physics working group approves the content and the author list of the paper
  • the presented contribution is stated to be part of the Geant4 Low Energy Electromagnetic Physics working group
  • a general guideline for the list of authors is as follows:
    • the main author is the Geant4 Low Energy Electromagnetic Physics working group developer who has written the paper or has contributed the most to it,
    • then are listed the authors who have contributed to the paper in order of decreasing contribution, they can be members of the Geant4 Low Energy Electromagnetic Physics working group or not,
    • finally, as an option to the main authors, they can list the rest of all other Geant4 Low Energy Electromagnetic Physics working group collaborators in an alphabetical order (listed at this page)

Using this rule, the work efforts are fairly represented.

Teaching and tutorial material

Geant4 is regularly organizing tutorials and lectures around the world. Any Geant4 Low Energy Electromagnetic Physics working group collaborator wishing to participate and/or organize such events is asked to inform the Geant4 Low Energy Electromagnetic Physics working group and the Geant4 collaboration. Any material (slides, exercices, write-ups) presenting developments and results of the Geant4 Low Energy Electromagnetic Physics working group must have been acknowledged by the Geant4 Low Energy Electromagnetic Physics working group and must be presented on behalf of the Geant4 Low Energy Electromagnetic Physics working group. A dedicated web page containing this material is under preparation.

New membership

Any new membership request will be presented to the Geant4 Low Energy Electromagnetic Physics working group and will be submitted to a vote among the working group. The request shall include the description of technical deliveries. Once these deliveries are ready to be committed to SVN, the request will be presented to the Geant4 Steering Board for vote.

SVN code management

Any developer can commit files to the head of his/her category (emlowen in our case)

  • if a developer wants to make a tag he/she should coordinate this with the working group coordinator and the coordinator will decide who will do the tag;
  • normally a tag is under the responsibility of the coordinator but he/she can delegate this to any developer;
  • if a tag is needed it should be done from the sub-directory of the category and it should have a new incremental number on top of the last tag;
  • before doing a tag, one has to understand clearly:
    • what was the status of the sub-directory for the previous tag
    • what is added with the new tag
  • it is mandatory to update the History file

New rules

New rules will be added as necessary after consultation with the Geant4 Low Energy Electromagnetic Physics working group.

  • Suggestion by Vladimir: Geant4 Collaboration is different from a typical experimental collaboration where groups are join by institution. In Geant4 individuals are joined to Geant4 working groups. Formally each new member of Geant4 has to be proposed by a working group coordinator. Initial condition is some contribution to Geant4 software, models, or validation. There is group by group different practice. I personally try to agree on initial contribution and only when the agreed result is obtain propose new member. It may be bit different in other working groups. It should be also clear that Geant4 membership does not provide many extra publications (we have limited number of common publications so far) but only access to software repository and internal meetings. This may be explain specifics of Geant4 approach for membership. To proceed further the best method (from my point of view) is to prepare few concrete tasks, let say for few month time and for 2012 per person. When we will see the list we will understand which small sub-task will correspond to which working group.

  • Suggestion by Dennis: The method for joining the hadronic group is quite similar to that of the EM group: a specific project is proposed with people assigned to the task, with their FTE estimates as well as a proposed timeline for completion. Once that is agreed upon, we would propose those people to the steering board for Geant4 membership. Note that once such a contribution is made we ask that some effort be assigned to the maintenance of the contribution. This would include code/data updates, validation, bug fixes, answering questions, etc. The amount of time spent on this continuing effort need not be as large as the initial investment, but it is important.
