Mode of Operation for LHCHXSWG documentation

LHCHXSWG Report type can be either of the following,

a) LHCHXSWG Internal Note: such as work review or work plan as an internal document. Authors will submit the draft to the WG conveners that will oversee the document by a fast review and after approval will provide an INT preprint number. The note will be labelled like LHCHXSWG-INT-2015-001 and will be signed by the (few) individuals who have done the work. Internal notes are not intended to become public beyond the LHCHXSWG twiki page and a CDS entry, in particular, submission to the arXiv of internal notes is strongly discouraged. Internal notes can also be used as an intermediate step towards the release of an official report: the internal note is used to post comments on CDS and once approved by the LHCHXSWG a fresh new CDS entry is created by the WG conveners to upload the approved version and then approved by the SC as as official report (in this way the CDS comments and iterations will not appear on the final CDS approved version of the document).

b) LHCHXSWG Official Report: such as (interim) recommendations, which can be cited by the collaborations in papers and proceedings/reports representing the LHCHXSWG. The official reports are developed within the corresponding WG in coordination with the WG conveners. These reports can, but are not required to, be started from an existing internal note. When the report is ready for review, the authors ask the WG conveners to post the report on the CERN CDS system for comments, inform the SC via email, and send an email initiating review by the corresponding WG during a period fixed by the WG conveners. Submission to CDS automatically generates the LHCHXSWG-20XX-XXX report number. Once this review is completed, the WG conveners send a request to the SC, which is responsible for the final sign-off. The SC sends an email to invite all members of the LHCHXSWG to comment via the CDS system during a period fixed by the SC and adjusted to the complexity of the content and length of the report. Everyone who has substantially contributed to the work and to the discussion, according to the judgement of the WG conveners and the authors, is invited to sign the report. Once all comments have been addressed, the SC approves the document.

The approved report should be labelled as LHCHXSWG-20XX-XXX and include the endorsement work done on behalf of the LHCHXSWG. Official reports can be submitted to the arXiv. The document version submitted to the arXiv and CDS should be kept up to date and correspond to that endorsed by the LHCHXSWG. If any part of the work presented in the report or otherwise developed within the LHCHXSWG is included in a journal publication, an acknowledgments section should refer to the work performed within the LHCHXSWG.

c) LHCHXSWG CERN Reports: special official report made of a compilation of all works done in the group. Compilation and review of the different sections will be handled by the WG conveners and final review will be performed by the SC. Report numbers are handled by CERN Library like CERN-20xx-00x. The report will be signed by all members of the LHCHXSWG that contributed. LHCHXSWG CERN reports will be submitted to the arXiv.

Practical Issues/Recommendations about Internal Notes

- For the report number WG conveners are eligible and responsible to submit the sequential number to the authors and edit LHCHXSWG Library page themselves https://twiki.cern.ch/twiki/bin/view/LHCPhysics/LHCHXSWGLibrary This page is linked from LHCHXSWG's main TWiki page at "Documents and Practical Guide". WG conveners with CERN account should be able to edit this TWiki page. After submission the report number and making entry to Library TWiki page, please notify to SC.

- We wish that communications that usually occur by private emails between EXP and TH (as cross section numbers, scale recommendations, etc) end up into the form of Internal notes in order to provide the possibility of future checks and better handling the information. The internal notes dont need to have the format of a formal article, can, for example, be a more informal report on the discussion.

-Internal notes could be the starting point towards an official report. For instance, the WG conveners could decide to elaborate on an internal note and call for an extended work inside their WG to issue some official recommendations. Of course, the authors of an internal note could themselves motivate/convince the WG to go for such a call.

- We encourage ATLAS/CMS to rely on and cite only official and CERN reports and if they want to use some results in INT notes, they should contact the WG conveners such that a call is made inside the WG and the process for the transmutation INT note -> official report is initiated

Starting a new note and GitLab repository

When you are ready to start a new note, contact the relevant sub-group conveners and the Steering Committee members. They will create a temporary directory for you in GitLab. If the topic of the note spans across several sub-groups, the Steering Committee will help to coordinate. Once the note takes shape, the Steering Committee will assign a note number (e.g. LHCHXSWG-INT-XXXX-XXX) and the directory will be renamed accordingly. We have to make sure that all notes are placed under GitLab system with each directory for both INT note (e.g. LHCHXSWG-INT-2025-001) and official reports (e.g. LHCHXSWG-2025-001). Current directories on GitLab for LHCHXSWG notes are:
